This Privacy Policy explains how information about you is collected, used, and disclosed by Affiliates Risk Management Services, Inc. (“ARMS,” “we,” “our,” or “us“). This Privacy Policy applies to information we collect when you use our websites, mobile applications, and other online services where a link to the Privacy Policy appears, including but not limited to our education and training platform the Center for Affiliated Learning (“the CAL”) and www.armsconnect.org, complete our medical simulation trainings, and participate in courses and follow up evaluations (collectively, the “Services“) or when you apply for a job or otherwise interact with us.

ARMS is a not-for-profit corporation and our Services are targeted to other businesses and not intended for consumers.

Accessibility: If you are having any trouble accessing this Privacy Policy, please contact us at 212-261-4363. Our hours of operations are: Monday through Friday, 9:00 a.m. to 7:00 p.m. eastern time. We may change this Privacy Policy from time to time.  If we make changes, we will notify you by revising the date at the top of the policy and, in some cases, we may provide you with additional notice, such as adding a statement to our homepage or sending you an email notification.  We encourage you to review the Privacy Policy whenever you access the Services or otherwise interact with us to stay informed about our information practices and the ways you can help protect your privacy.

Collection of Information

Information You Provide to Us: We collect information you provide directly to us.  For example, we collect information when you register for the CAL, fill out your account profile, participate in an online course or live training program, take a knowledge check, use our medical simulation devices, request a Continuing Medical Education (“CME“) or Continuing Education (“CE”) certificate, fill out a form, use www.armsconnect.org, respond to a survey, communicate with the CAL Help Desk, request information from us, request technical support, apply for a job, participate in a community offered by the CAL, or otherwise communicate with us. The types of information we may collect include your name, email address, phone number, and employment and education history.  In connection with processing your CME/CE activity request and/or certificates, we may also ask for information regarding your credentials. We may also collect other information you chose to provide, including your gender, date of birth, social media account names, and responses to polls and survey questions, and any other information you provide. 
Information About Your Use of the Services: When you perform a simulated medical procedure during one of our trainings, we may record your performance in order to assess your performance and to improve our Services. We may also record meetings conducted via the Saba meeting function or record communications between you and us.
Information We Collect Automatically When You Use Online Services: When you access or use our online Services, we may automatically collect information about you, including:

  • Log Information:  We log information about your use of online Services, including the type of browser you use, access times, pages viewed, organization name, your IP address, page browsing information, and operating system information.
  • Device Information:  We collect information about the computer or mobile device you use to access our Services, including the hardware model, operating system and version, unique device identifiers and mobile network information.

Information Collected by Cookies and Other Tracking Technologies:  We and our service providers use various technologies to collect information, including cookies, web logs, and web beacons.  Cookies are small data files stored on your hard drive or in device memory.  Web beacons are electronic images that may be used in our Services or emails and help deliver cookies, among other things.  We use these technologies to help us provide the Services and to administer our trainings and exams. You may delete or block cookies, but doing so will adversely affect the functionality of the Services. 

Information We Collect From Other Sources: We may also obtain information from other sources, including the organization you work for or their related or affiliated entities, and combine that with information we collect through our Services.   

We do not knowingly collect information from users under 16 years of age.

Use of Information

We use the information we collect to provide, maintain, and improve our Services, such as to administer our trainings and assess users’ performance, to report to insurers per application, policy and carrier requirements, and for such other uses with your consent. We may also use the information we collect to send you survey requests and information about CME activities or CAL products, services, and events that we offer, respond to your comments and questions, prepare and deliver CME/CE certificates, and to monitor and analyze trends, usage, and activities in connection with our Services.
We use the information to consider individuals for employment and to manage their employment with our organization.

Sharing of Information

We may share information about you as follows or as otherwise described in this Privacy Policy:

  • With your organization or third party, in response to a request by your organization;
  • With vendors, including, but not limited to insurance companies, brokers, actuaries, counsel, third party data facilities, web and data analytics providers, continuing medical education sponsors, and other service providers who need access to such information to carry out work on our behalf, but they are only authorized to use the information to provide services to us;
  • With your organization, accrediting organizations, and credentialing bodies, in response to a formal request for either (i)  your claims history. (ii)CME activity participation reports, or (iii)  your use of online educational courses, including information you provide at registration, your use of the courses, the courses you have registered for, accessed, and/or completed, CME/CE certificates obtained, and the results of the test you take at the end of the course, if applicable;
  • With other users and the public when you participate in the interactive areas of our Services, such as by submitting your posts, comments, and other information you choose to provide to the communities, groups, or spaces on the CAL;
  • In response to a request for information if we believe disclosure is in accordance with any applicable law, regulation, or legal process, or as otherwise required by any applicable law, rule, or regulation;
  • If we believe your actions are inconsistent with our user agreements or policies, or to protect the rights, property, and safety of ARMS or others;
  • In connection with, or during negotiations of, any merger, sale of our assets, financing or acquisition of all or a portion of our operations by another entity;
  • With our affiliates; and
  • With your consent or at your direction.

We may also share aggregated or de-identified information, which cannot reasonably be used to identify you. 

We do not sell your personal information to unaffiliated third parties.

Analytics Services Provided by Others

We may allow others to provide analytics services.  These entities may use cookies, web beacons, and other technologies to collect information about your use of the Services and other websites, including your IP address, web browser, mobile network information, pages viewed, and time spent on pages.  This information may be used by ARMS and others to, among other things, analyze and track data and better understand your activity. For example, may use Google Analytics to analyze the usage of our Service, which may use cookies and other tracking mechanisms to collect such data.  Google will collect and use information for such purposes pursuant to its own policies.  We are not responsible for the policies or acts of Google.  Please refer to the Google Analytics’ currently available opt-outs for the web, found at https://tools.google.com/dlpage/gaoptout.

Security

ARMS takes reasonable measures to help protect information about you from loss, theft, misuse and unauthorized access, disclosure, alteration and destruction.

Local Administrators

Your personal information may be maintained by a local administrator at your organization. Therefore, while we set forth below how you may contact ARMS regarding the information that we maintain, you may need to contact your local administrator for other information.

Third Party Services

We may provide links to third party websites, apps or services from within the Services. We are not responsible for the privacy practices or content of these third party sites. When you navigate away from our Services, you do so at your own risk. We encourage you to read the policies and terms of every website, app or service you visit.

Your Choices Regarding Personal Information Maintained by ARMS

Updates: You may update, correct or remove certain personal information about you at any time by logging into your online account or calling the help desk at 212-261-4363. If you wish to deactivate your account, please call our help desk at 212-261-4363, but note that we may retain certain information as required by law or for legitimate business purposes. We may also retain cached or archived copies of information about you for a certain period of time.

Delete: If you would like to request that we delete your personal information, please email us at [email protected] and we will contact the administrator at your organization to request termination of that user’s account. However, we may retain certain information to fulfill a legal obligation, for document retention purposes or as otherwise permitted by applicable law.

United States

ARMS is based in the United States and we process and store information in the U.S.  As such, we and our service providers may transfer your information to, or store or access it in, jurisdictions that may not provide equivalent levels of data protection as your home jurisdiction.  We will take steps to ensure that your personal information receives an adequate level of protection in the jurisdictions in which we process it.  Information stored in the United States may be subject to access by law enforcement authorities.
